Imaging Frequently Asked Questions

Questions:

  1. Why do we have to use the Novell Account password to log into Imaging?

  2. I want the attachments to open in a different window. However, when I click on an attachment and then click on the view button, no window opens.

  3. I am a department decision entry person. I have opened the Department Decision Form, but the decision drop-down menu is not working. How do I enter a decision?

  4. Why is the Web Imaging only available to PC users? Is it possible that it will be available to MAC users in the future?


1. Why do we have to use the Novell Account password to log in to Imaging?

Imaging doesn't really use Novell, it uses a persons Active Directory (AD) account. Imaging security is built around AD (without it, Imaging would not work).

ITS makes every effort to make sure that a persons AD password is the same as their Novell, to cut down on the number of passwords that people have to remember. That is why it's important that people who have Novell change their password at http://www.support.uidaho.edu, not at the Novell console when they log in.

If users use http://www.support.uidaho.edu to change passwords there are two sets of accounts that they can change... one line says:

Novell/Frontpage(AD)/Unix

The other says:

VandalMail

If users check both boxes, then their VandalMail and Imaging passwords will be the same. However, ITS does not require users to periodically change their VandalMail passwords. So when the Novell/AD, password expires every six months, the users have to go back to the web site, change the password including their Vandal Mail to make sure everything stays synced up. That is one way to make sure Imaging and VandalMail are the same.

Unfortunately, until the U of I begins using a single sign on (one account for everything); this is the way it has to be.

2. I want the attachments to open in a different window. However, when I click on an attachment and then click on the view button, no window opens.

The most common reason for separate windows not opening is that you have not turned off your pop-up blocker. To use the imaging system, you must allow pop-ups from this site.

If your pop-up blocker has been disabled and you are still not able to open the attachments in a separate window, please contact the Graduate Admissions Office for more assistance (5-2809).

3. I am a department decision entry person. I have opened the Department Decision Form, but the decision drop-down menu is not working. How do I enter a decision?

You must first lock the file before you will be able to enter a decision. To lock the file, click on “Lock” in the grey menu bar at the top of the form. You will need to select the Department Decision Form again, once the file has been locked. You should now be able to use the drop-down menu to enter, save and complete the file.

4. Why is the Web Imaging only available to PC users? Is it possible that it will be available to MAC users in the future?

For the Web Imaging Product, the only client that is supported by Stellent is Internet Explorer. That doesn't mean that other Browsers (Including MAC Browsers) won't work. It just means that if you do find one that lets you login and its behaving funny, the response we get from a customer support stance is, "try it in Internet Explorer and see if you have the same problem." One popular Browser FireFox, for example, simply won't work for Imaging Web. Our tech person has not heard of any Mac Browsers working.

The Future of Mac use on Imaging Web is something that Stellent is trying to make work. There is currently a "Thin Web Client" (separate product from our current Imaging Web client, but something we can install with our next upgrade) available that is browser independent (you can use virtually any browser). The problem is that it only allows document searches and retrievals. No workflow functionality. They are in the process of adding workflow to that product. But, even if they implemented that today, we wouldn't have that product until our next upgrade, which, is probably close to a year out.
